Housecall Pro

Follow-up on every open estimate in Housecall Pro

We set up Housecall Pro so every open estimate has a person responsible for it and a next message on a schedule. Quotes stop going quiet because nobody knew whose turn it was.

A tech finishes a walkthrough on a Tuesday afternoon and sends the estimate from the truck. The homeowner opens it that evening and sets it aside to talk over at dinner. By Friday the tech is on other jobs and assumes the office will call. The office assumes the tech already did. A few weeks later the homeowner hires another company, and nobody at yours ever learns that the quote was still in play.

Home Service Guild sets up follow-up on open estimates so that every quote has a person who owns it and a next message already scheduled. This is part of the sales pipeline job. It is also one part of how we set up Housecall Pro for a home service company.

Why quotes sit with nobody asking

The person who writes the estimate is rarely the person whose day has room for follow-up. Techs move on to the next job. The office sees a list of sent estimates with no sign of which ones are warm. Many owners also hold back because a second message feels pushy, so the quote waits for the customer to call. A customer comparing two companies may read that silence as a preview of how the job would go.

The estimates board in Housecall Pro

Housecall Pro's Pipeline shows estimates on a board, with columns that include Sent, On Hold, Approved and Rejected. Pipeline does not create new records. It lays out the estimates already in the account so the office can see every open quote in one place. We agree with you on what each column means in your company and who moves a card from one column to the next.

We use the On Hold column for customers who have asked you to wait, such as a homeowner who wants to revisit the project after the holidays. Housecall Pro pauses follow-up automations on estimates in that column. That customer will not get a reminder they asked you not to send.

Follow-up messages that go out on a schedule

Pipeline automations send follow-up on open estimates without anyone having to remember. Each rule sets the timing, the conditions, the message and the status the estimate moves to afterward. A rule can resend the estimate with a short note and move it to a first follow-up status. The message goes by email or text, matching how the estimate was sent. Housecall Pro also has Smart Recommendations, which suggest follow-up timing based on its own data.

Conditions can use tags, job type and lead source, so the timing can fit the work. A drain repair quote and a full bathroom remodel quote should not get the same follow-up. We set those rules with you and write every message in your company's voice before any of them go out.

Which quotes get a personal call first

Some quotes deserve a person. On a large job, the best one to follow up is often the owner or the salesperson who walked the house, and an automated note can step on that conversation. We decide with you which estimates get a personal call first and then build the automations around that decision. Whoever owns those calls learns the board in a live online session. We record the session for the next person who takes over the role.

Options and financing on the estimate

An estimate with more than one choice gives the customer something to weigh besides yes or no. A Housecall Pro estimate can carry several options, each with its own line items and price. Those options come straight from a well-built price book.

Housecall Pro also connects to Wisetack consumer financing. When financing is turned on, customers see an option to pay over time on estimates and invoices, subject to credit approval. The company is paid in full when the job is finished. For a customer who stalls at the total, a monthly figure can restart the conversation.

More about Housecall Pro

Questions owners ask

Will automatic follow-up annoy our customers?

That depends mostly on timing and wording, and you decide both. We write the messages with you in the tone your office already uses. Customers who ask you to wait go to On Hold, where Housecall Pro pauses the automated follow-up.

Can small repairs and big replacements follow different schedules?

Yes. Pipeline automations can use conditions based on job type, tags and lead source. We set up separate rules wherever your work calls for them.

What happens when the customer approves the estimate?

The estimate moves to Approved on the board. Follow-up rules depend on an estimate's status, so an approved quote drops out of the follow-up path.

What about the estimates already sitting open in our account?

We go through them with you before any automation starts. Together we decide which ones get a fresh follow-up, which go on hold and which close out as lost. The board starts out showing where every quote really stands.

Who should own follow-up, the office or the techs?

In many companies the office owns the board and the techs own the details of each quote. Some owners prefer to handle large quotes themselves. We set up the board to match whichever arrangement you choose and agree on who moves each type of estimate.
