Housecall Pro

Getting new hires working in your Housecall Pro account

We train new office staff and techs on your own Housecall Pro account, by role, with recorded walkthroughs they can replay. Each person gets the access their job needs instead of an owner login.

It is a new dispatcher's first Monday. The person who built the account left in the spring, so nobody is sure what each setting does. The quickest fix is to hand the new hire an owner-level login and point them to the schedule. By Friday a price has changed, a job type has a new name and nobody remembers who did it.

Home Service Guild trains new office staff and new techs on the Housecall Pro account you already have. They learn your job types, your prices and your way of working. Each person gets the access their role needs and learns that part first. This is part of the operations work: the setup you paid for keeps working after the people who built it move on.

Training built from your own account

A new hire learns faster from screens that look like their real work. We record short walkthroughs inside your own account. They show your actual job types, your price book and the steps your office follows from the first call to the paid invoice. The recordings are online, so a new person can watch them before their first shift and again during their first week. We also teach live online sessions when a group starts together or when something in the setup changes.

Roles in Housecall Pro decide what each person sees

Housecall Pro gives each team member one of three roles. An Admin or Owner has full access to the account, including adding and removing employees and seeing every report. Office Staff can be given access to things like reporting, the estimates Pipeline, marketing campaigns, employee pay details and online booking hours. Field Techs work only in the mobile app and cannot open the web version.

You can adjust permissions for each person inside those roles. For a tech, that covers whether they can see prices and take payments, edit or cancel jobs, see customer contact details, and see their whole schedule or only the next job. We decide these settings with you before a new hire logs in for the first time. A new person then starts with the right access and nothing extra.

What a new office hire learns first

In the first week, the office hire learns the work that comes in every day. They learn to work the inquiry list, book jobs on the schedule and keep the estimates board current. The list itself is set up as described on every inquiry into Housecall Pro. Once those habits hold, they move on to invoices, payments and the customer list. Reports and settings come last. Many office hires never need to change a setting.

What a new tech learns first

A new tech needs the phone app before anything else. They learn to open the day's jobs, read the notes the office left, add their own notes and photos, and close out a job the way your company does. If your techs take payments or sell maintenance plans, those come next. The tech only needs to learn the parts of the app their permissions allow, which keeps the first week short.

Keeping the setup intact when people change

Most settings that get broken were changed by someone who had more access than they needed. We help you decide who is allowed to change the price book, job types, tags and lead sources. Admin rights stay with you as the owner, so nobody who leaves takes control of the account with them. When someone leaves, an admin removes their access that day.

The walkthroughs stay current as your setup changes. When you add a job type or rebuild part of the price book, we re-record the walkthroughs it affects. The next hire then learns the account as it is today. If the account itself still needs work first, start with Housecall Pro setup and training.

Questions owners ask

Should a new office hire get admin access?

Usually not. The Office Staff role covers most front office work, and you can open up reporting or pay details only for the people who need them. Admin access stays with the owner and anyone the owner chooses.

Do field techs need a computer?

No. Field techs work only in the Housecall Pro mobile app and do not have access to the web version. Their training happens on the same phone they carry to jobs.

Can we keep prices hidden from a new tech?

Yes, by turning off the "see prices and take payments" permission. That also stops the tech from collecting signatures and job approvals, and from selling a service plan. We help you decide when a new tech should get that permission.

Can a new tech see only their next job?

Yes. A tech's schedule view can be limited to their next job or opened up to more. Some owners start new techs on the narrow view and widen it later.

What happens to the recordings after we change our setup?

We re-record the walkthroughs a change affects. That way the recordings match the account a new hire actually logs into.
