Housecall Pro
Reviews and past customers in Housecall Pro
We set up Housecall Pro to ask for a review after each job and to stay in touch with past customers by email and postcard, so they come back and send their friends.
Scroll through the customer list of almost any established home service company. Most of the names belong to people who were happy with the work. Many of them have not heard from the company since the day they paid the invoice. When the next job comes up, some of them search online and hire whoever appears first because they cannot remember who came last time.
Home Service Guild sets up review requests and past customer outreach in Housecall Pro so the people who already trust your company hear from it again. A review tells strangers what those customers already know, and a well-timed note brings the customers themselves back. This is the Word of Mouth job.
Takes a minute. Our team will get back to you.
Review requests that go out after each job
Housecall Pro sends a review request by email, text or both when a job is marked finished. The company can change the setting so the request goes out when the job is paid. We choose the trigger with you based on how your jobs end. A company that collects on the spot can ask at finish. A company that bills later may prefer to wait for payment, so the request does not arrive next to an unpaid balance.
By default Housecall Pro writes each request around the job that was just finished, so the customer reads about their own water heater instead of a generic thank-you. The company can switch to one custom message for everyone. Requests point customers to Google Business Profile, Facebook or the Housecall Pro website. The company can let Housecall Pro balance requests across those sites or send everyone to one.
Answering the reviews you get
Replying to reviews from inside Housecall Pro requires the Premium Reviews subscription, which can also draft a reply based on what the review says. Without it, the company replies on Google and Facebook directly. Either way, we agree with you on who answers reviews and how quickly. When a hard review comes in, we draft the reply together.
Cleaning up the customer list before anyone gets a message
Duplicate records mean the same family gets two postcards. Missing tags mean the office cannot tell a homeowner from a property manager. We clean the list with you and tag customers by the groups that matter to your company. Housecall Pro campaigns already skip unsubscribed contacts, customers marked Do not service, records with invalid contact details and anyone last serviced more than three years ago. Everything on this page draws on the customer records that the rest of our Housecall Pro setup keeps clean.
Campaigns to past customers by email, text and postcard
Housecall Pro Campaigns sends emails, texts and postcards to a chosen list. The list can be filtered by tags, location, lead source, lifetime value, creation date, last service date and customer type. An automated campaign starts from a job or an estimate, and it can end on its own when the customer schedules a new job or estimate. Housecall Pro prints and mails the postcards and charges for each card. Automated texts need the company's own text number set up first.
Here is the kind of plan we build with an owner. Customers whose last service was nearly a year ago get a reminder before the season turns. A homeowner who just finished a large project gets a thank-you postcard. The customers with the highest lifetime value hear from you once or twice a year with an offer you choose for them. We write every message with you, and your office keeps a recorded walkthrough of how to launch the next campaign.
Service plans and referrals
Customers who want regular visits can join a recurring service plan. Housecall Pro's Recurring Service Plans schedule each future visit automatically and charge the card on file monthly, quarterly, every six months or yearly. Recurring Service Plans come with the MAX plan. The billing on those plans runs through your invoices and payments setup.
For referrals, the Housecall Pro customer portal gives customers a referral link to share and lets the company track referral activity. We decide with you how a referral gets thanked and make sure each referred customer is recorded with the right lead source.

Questions owners ask
Can we choose which review site customers are sent to?
Yes. Housecall Pro can spread requests across Google Business Profile, Facebook and its own website, or it can send every request to one site. We look at where your reviews stand today and choose the setting with you.
Will a customer get a review request and a campaign in the same week?
We plan review timing and campaigns together so customers do not get messages stacked on top of each other. Automated campaigns can also end on their own when the customer books a new job.
Do postcards cost extra?
Yes. Housecall Pro charges for each postcard it prints and mails. We help you choose the list so the cards go to the customers most likely to book again.
What should we do about a bad review?
Answer it calmly and soon, and fix the problem if it can still be fixed. We agree with you ahead of time on who handles negative reviews, and we draft the reply together when one comes in.
Can our techs ask for reviews in person too?
Yes. A tech who mentions it at the end of the job makes the request that follows feel expected. We help the office and the techs agree on what to say so it sounds natural.
