Housecall Pro

Housecall Pro service plans and maintenance agreements

Housecall Pro has two tools for repeat work. Recurring Service Plans are full agreements with up to 12 visits a year and billing on a schedule, and recurring jobs repeat one job on a set rhythm. We help you choose the right one, design the plan and set it up in your account.

A tech finishes a spring tune-up, and the homeowner walks out to the truck with them. "Call me in the fall and we'll do it again," the homeowner says. The tech means to pass it along to the office. By October the note is gone, and the homeowner books whichever company mailed a reminder first.

A maintenance plan keeps that promise for you. The customer agrees to the visits up front and the billing runs on a schedule. The office gets a list of visits still owed. Home Service Guild builds these plans inside your Housecall Pro account as part of the repeat business work. We cover HVAC tune-ups, quarterly pest visits, weekly pool service and regular cleaning schedules.

Two ways to handle repeat visits, and the plan each needs

Housecall Pro has two separate tools for work that comes back on a schedule. Recurring Service Plans are full agreements. Each plan template has a name, a description, an optional discount on the plan's jobs and up to 12 included visits a year. A plan can run until the customer cancels or end after a set term. Billing can be monthly, quarterly, twice a year or yearly. Housecall Pro's pricing page lists Recurring Service Plans as a MAX feature.

Recurring jobs repeat one job on a set rhythm, such as daily, weekly, monthly, yearly or a custom pattern. Each visit becomes its own job with its own invoice. Auto invoicing can then send a customer their unpaid invoices on a schedule you choose. A weekly pool route or a biweekly cleaning often fits this better than a formal agreement. Before we build either one, we check which tools your current Housecall Pro plan includes.

Designing the plan before it goes into the account

A plan that is easy to explain is easier to sell. We work out with you what each visit includes, how many visits a year the plan promises and what members get that other customers do not. That might be a discount on repairs or a spot near the front of the line in a busy season. We write a plan description your techs can read aloud without stumbling.

Every trade sets this up differently. An HVAC company may offer one plan with a spring and a fall visit. A pest control company usually works in quarters. A pool company may skip the agreement and use a weekly recurring job. If you want a basic plan and a fuller one, we build each as its own template so the office never has to guess which one a customer bought.

Selling the plan while the tech is still in the driveway

The best moment to offer a plan is right after good work, while the customer is standing there. In the Housecall Pro mobile app, a tech can add a service plan from the job page or the payment screen. The tech picks the template, the start date, any add-ons and the billing frequency. Then they can send the plan to the customer, save it as a draft or take payment on the spot.

A tech needs the "see prices and take payments" permission to do this, so we set that up for the people who will sell. We also write the short explanation each tech gives at the door. Housecall Pro's service plan reports show how many plans each team member sold, so you can see who is offering them.

Scheduling the visits members already paid for

A member who pays and never gets a visit becomes a cancellation. The Service Plans dashboard keeps a list of unscheduled visits, and the office can book a visit straight from that list. We make that list part of the office's weekly routine. We also set the plan's visits to land in the slower weeks of your year when the trade allows it. For work set up as recurring jobs, Housecall Pro creates each job on its own, so the office only steps in when a customer moves a date.

Billing, renewals and the numbers behind them

Plans billed to a card on file are charged at the frequency the customer chose. The dashboard shows payments due within seven days and any that are overdue. When a card fails, the office updates it on the plan's details page. We set up plan billing to fit with how you already handle invoices and payments.

Renewals show up in the same place. A plan marked Expiring Soon ends within 30 days. A plan marked Pending Renewal is waiting for the customer to accept. Housecall Pro can send renewal emails automatically, or the office can renew a plan by hand. Service plan reporting shows the revenue still due, what was collected over a period and expected recurring revenue for the next 12 months. The plan templates and the member list stay in your own account, under your name.

More about Housecall Pro

Questions owners ask

Can we offer maintenance plans if we are not on MAX?

Housecall Pro lists Recurring Service Plans under MAX. Recurring jobs and auto invoicing are separate tools that can handle many regular visits. We check which tools your plan includes and tell you plainly what the full agreement adds, such as the plan dashboard and renewal tracking.

A member wants to switch from monthly to yearly billing. Can we change it?

Housecall Pro does not let you change the billing frequency on an active plan. The office cancels the current plan and creates a new one at the new frequency. We show your office how to do this so the member's visit history stays clear.

Do plans renew on their own?

That depends on how the template is built. A plan can continue until the customer cancels, or it can end after a set term and come up for renewal. Renewal emails can go out automatically. The office can also use the Renew button on the plan.

What happens when a member's card is declined?

The plan shows up as overdue under Due for Billing on the dashboard. The office updates the card on the plan's details page. We agree with you ahead of time on who checks that list and how often.

Can we see which techs are selling plans?

Yes. Housecall Pro's service plan reports include plans sold by each employee. Many owners use that number to coach their techs.
