Lead follow-up for home service companies
A painting contractor sends three estimates on Friday afternoon. By Monday one homeowner has signed with someone else, one has not opened the email, and the third is waiting for a call nobody put on the calendar. Two of those jobs can still be won if someone follows up this week.
Lead follow-up covers everything after a homeowner reaches out. That means a fast first reply, every inquiry in one list, missed calls returned and every quote followed up until the customer gives an answer. It is the sales pipeline job, and it protects the inquiries your marketing already paid for.
Takes a minute. Our team will get back to you.
What we set up for lead follow-up
- One list that collects calls, web forms, texts and marketplace leads
- Spam filtering, so the list holds real homeowners
- An alert to the owner or the office when a new inquiry arrives
- A morning list of every inquiry still waiting for a reply
- A follow-up reminder on every open quote
- The source of each inquiry, recorded with it
A fast first reply
Homeowners often contact several companies at once, and the first company to reply gets the first conversation. We set up an alert for every new inquiry. Each morning we send a short list of anyone still waiting. That way a fast reply does not depend on someone remembering to check an inbox between jobs.
Missed calls
Unanswered calls tend to pile up on the busiest days, when the crew is in an attic and the owner is driving between jobs. Every missed call goes into the same list as the forms and texts, so it gets a reply instead of sitting in a call log. What to do about missed calls explains why speed matters most here.
Quotes followed up until the customer answers
An open quote is an estimate the customer has not yet accepted or turned down. Each one carries a reminder until the customer answers. A "not yet" counts as an answer once someone writes down a date to check back. The person named on the quote can do the follow-up, so it never waits for the owner to finish the day's work. For timing, see how long to wait before following up on a quote.
One list connected to your field service software
The list connects to the software you already use to quote and schedule, such as Housecall Pro. An inquiry can then become a quote without anyone retyping the customer's name, address or notes. LiveWell Mobility had inquiries arriving in six different inboxes. We pulled all six into one list connected to their Housecall Pro account. Everything is set up in your company's name, and the rest of what we do is on our services page.

Questions owners ask
Who replies to the inquiries, you or my team?
Your team replies. We build the list, the alerts and the reminders, and your office or crew answers the customer because they know the schedule and the work.
What counts as a lead?
A lead is any homeowner who reaches out about work. That includes a call, a web form, a text, a social media message or a marketplace inquiry. Spam and sales pitches are filtered out before they reach the list.
What happens to a quote the customer turns down?
We close it and record the reason if the customer gave one. Over time those reasons show you whether price, timing or something else is costing you jobs.
Can my office manager see the same list I do?
Yes. Everyone who handles inquiries works from the same list, so it is always clear who has replied and who is still waiting. We train your team online.
Does this work if I do not use field service software yet?
Yes. The list works on its own. If you adopt field service software later, we can connect the list to it then.
