Missed call text back for plumbing, HVAC and electrical companies
Picture 4:40 on a Thursday in July. The owner of a three-truck HVAC company is in an attic with a condenser on the roof above him, and his phone buzzes in his pocket. He can't answer. The homeowner on the other end has a house at 84 degrees and two kids home from camp, and she is already scrolling to the next name on Google.
If a text from his company reaches her before she dials that next number, he still has a chance at the job. Missed call text back sends that text. When nobody at your shop can pick up, the caller gets a short message from your company on your business number, saying who you are and asking what they need. We set it up for owner-run plumbing, HVAC and electrical companies inside the software and phone system you already use, and we make sure the reply, the quote and the follow-up happen after the text goes out.
Takes a minute. Our team will get back to you.
What we set up for missed call text back
- A text that goes out from your business number when a call rings out or goes to voicemail
- Messages written with you for each kind of call, in your company's name and your words
- An alert to the owner, the office or the on-call tech when a caller texts back
- Every missed call and every reply on the same list as your web forms and other inquiries
- A morning list of anyone who texted back and still hasn't talked to a person
- Your business texting registration filed with the carriers, so your texts get delivered
- A report each month that follows missed calls through to quotes and booked jobs
What the text says
The first text has three jobs to do. It tells the caller a real company saw the call, it asks the one question that sorts an emergency from a routine job, and it gives them an easy way to answer. It also has to be short enough to read at a glance, and every message below fits in a single standard text with a short company name. You can change any of the wording.
- **Plumbing:** "Sorry we missed your call, this is [Company] Plumbing. Is water leaking right now? Reply YES and we'll call you right back. Reply STOP to opt out."
- **HVAC:** "Sorry we missed your call, this is [Company] Heating and Air. No heat or no cooling? Reply YES and we'll call you right back. Reply STOP to opt out."
- **Electrical:** "Sorry we missed your call, this is [Company] Electric. Power out or a burning smell? Reply YES and we'll call you right back. Reply STOP to opt out."
- **Quotes and routine jobs:** "Sorry we missed your call, this is [Company]. Calling about a quote or a new job? Reply with what you need and we'll get back to you today."
A text only helps if it promises something your team will do. If "right back" means within the hour on a busy day, the message should say that, and then someone has to call within the hour.
When the caller texts back, your team answers
We do not run an answering service or a call center, and we don't answer your phones. The text goes out on its own, but the conversation after it belongs to your people, because they know the schedule, the trucks and the work.
When a caller replies, the right person gets an alert. That might be you, your office manager or whoever is carrying the on-call phone that week. They can answer from their phone between jobs, and everyone sees the same thread, so the homeowner doesn't get two people asking the same questions. If you decide you do need someone answering live after hours, we'll tell you what to look for in an answering service and make sure the calls it takes land on your list. Our plumbing CRM and follow-up page explains how we look at that choice.
Emergency calls and calls that can wait
A burst pipe at 9 at night and a water heater quote are both missed calls, and they need different things. The homeowner with water coming through the kitchen ceiling needs a person on the phone fast. The homeowner who wants a price on a new water heater needs an answer by tomorrow and a quote that someone follows up.
The same is true in the other two trades. A furnace that quits in January or an AC that dies in a heat wave is an emergency for the family inside. A ductless mini-split quote can wait a day. For an electrician, a panel that buzzes or smells hot is urgent, and an EV charger install is a quote.
So we set it up in two parts. Replies that sound urgent go straight to whoever is on call, and the rest go on the list for the office to answer. Some calls should never wait on a text at all. Your greeting and your messages can tell callers what to do first: shut off the main water valve if a pipe has burst, leave the house and call the gas company or 911 if they smell gas, and call 911 if they see sparks, smoke or fire. Handling emergency calls and routine jobs on the same day goes further into how a plumbing company splits the two.
From missed call to booked job
The missed call text back tools we looked at stop once the first text is sent. The text gets the caller to wait for you, and booking the job still takes a person calling back, a quote going out and someone following up on that quote.
Here is how we set up the rest. When a caller replies, the inquiry goes on your list with their name and number and the source of the call. Someone on your team calls back and books the visit or writes the quote. Each open quote gets a person who owns it and a reminder until the homeowner says yes, no or not yet, and a "not yet" gets a date to check back. A repipe, an AC replacement or a generator install is a bigger decision, so that follow-up runs longer and you decide which ones get a personal call from you. How long to wait before following up on a quote covers the timing, and what to do about missed calls covers why speed matters most at the start.
Set up in your Jobber or Housecall Pro, in your company's name
You don't need another app with its own inbox. We start with what you already pay for. If your Jobber or Housecall Pro account or your phone system can send a text when a call is missed, we turn it on there and write the messages with you. If it can't, we add a texting tool that can and connect it, so the missed caller still shows up on the same list as your other inquiries and can become a quote without anyone retyping the name, the address or the note about the problem.
You keep your business number. The text goes out on the number homeowners already call, the one on your trucks and your Google Business Profile. Every account is set up in your company's name, and the phone settings, the messages and the customer history belong to your business. If you ever stop working with us, all of it stays with you. Before we hand it over, we call your number and let it ring out, and we don't call it finished until the text has arrived and the reply has landed in the right place.
Business texting registration, in plain words
In the United States, the mobile carriers want to know who is sending texts from an ordinary 10-digit business number and why. The registration is called A2P 10DLC, and the name is less complicated than it sounds. A2P means a business is sending the texts through software instead of a person typing on a phone. 10DLC means a regular 10-digit local number, the kind most plumbing, HVAC and electrical companies already have.
Registration has two parts. First the business is registered: your legal company name, your tax ID and your website. Then the texting itself is registered: what you send, such as replies to missed calls and appointment reminders, with sample messages and how people opt in and opt out. The carriers check it through a central registry. Texts from a number that isn't registered can be filtered or blocked before the homeowner ever sees them, and that failure is easy to miss because nothing on your end tells you the text didn't arrive.
We fill out the registration with you, in your company's name, and keep the details consistent with your website and your messages so it doesn't get rejected over a mismatch. Every message includes a way to opt out, and we keep missed callers off any promotional list unless they ask to be on it.
What we report each month
The report starts with your missed calls and follows each one through to the end. The numbers come from your own Jobber or Housecall Pro account and phone records, so you can check any of them yourself.
- How many calls were missed, and at what times of day and days of the week
- How many callers got the text, and how many texted back
- How long it took for a person from your company to reach each one
- How many of those calls turned into a quote, and where each quote stands
- How many booked jobs started as a missed call
- Where each of those calls came from, such as Google, Local Services Ads, a referral or your truck
If most of your missed calls come in between 3 and 5 in the afternoon, the report will show it, and that is the time to change who carries the phone.

Questions owners ask
Do you answer our phones?
No. Your office and your techs keep answering, because they know the schedule and the work. We set up the text, the alerts, the list and the quote follow-up so every caller reaches one of your people. If you need live answering after hours, we'll tell you plainly whether an answering service makes sense for your company.
How fast does the text go out?
In most setups it goes out shortly after the call rings out or reaches voicemail. The exact timing depends on your phone system or software, so we test it on your number before we hand it over.
Do I have to change my phone number?
No. The text comes from the business number your customers already call. If your system needs unanswered calls forwarded to make the text work, we set that up and test it.
Does it work with Jobber or Housecall Pro?
Yes. We set it up inside the account you already use where it can send the text, or connect a texting tool to it where it can't. Either way the caller lands on your list and can become a quote without anyone retyping their details. If you use neither one, the list works on its own.
Will my supply house or my family get a text every time I miss their call?
Where your phone system allows it, we leave out numbers you have saved, such as your supply house, your techs and your family, so the text goes to customers.
Is it legal to text someone back after they call my business?
Replying to a call someone just made to your company is the everyday use of business texting. The rules that matter are registering your number, saying who you are in the message and offering a way to opt out, and we set all three up. Promotional texts are a separate set of rules, and we keep missed callers off any promotional list unless they ask to join.
What if the caller doesn't text back?
The missed call still goes on your list with the number and the time, and it shows up on the morning list for a call back. Some homeowners never answer a text but will still pick up when you call.
What about after-hours emergency calls?
That depends on whether you take emergency work at night. If you do, urgent replies go straight to whoever is on call. If you don't, the text and your greeting tell callers when you open and what to do first in an emergency, and those calls are first on the morning list.
